Add and Invite Candidates
Bring candidates into Coco HR and send them their assessment.
There are two ways candidates enter Coco HR: you add them directly, or they apply themselves through a public link. This guide covers both, plus how to send the assessment invite.
Before you start
Make sure the job is Open and has an assessment template attached, so the assessment link works. See Post and manage jobs and Build assessment templates.
Option A: Add a candidate directly (resume-first)
- Go to Applicants > Add Applicant.
- Upload the candidate's resume (PDF or DOCX). Coco HR reads it and auto-extracts the name and email.
- Confirm the Name and Email, and choose the Job from the dropdown (open jobs only).
- Save.
On success:
- An AI resume-parsing panel runs for about two minutes to build the candidate's profile.
- An assessment-link panel appears with three actions:
- Copy — copy the candidate's assessment link.
- Email link to candidate — Coco HR sends the invite for you.
- Preview — open the assessment as the candidate would see it.
The candidate's assessment link looks like https://hr.cocolevio.com/assessment/{applicantId}. It's unique to that person.
Option B: Let candidates apply themselves (public apply link)
- Open the job (Jobs > your job) and select Share Link. This copies the public apply link,
https://hr.cocolevio.com/apply/{jobId}. - Post that link on your careers page, a job board, or send it directly.
- Candidates open it, upload a resume, enter their name, email, and phone, complete a captcha, and submit. They see an "Application Submitted" confirmation.
New applicants appear under the job. From there you can send each one their assessment invite (see below).
Send the assessment invite
You can send an assessment link two ways:
- Right after adding a candidate, use Email link to candidate on the assessment-link panel.
- Any time, from the Applicants list, use the Link copy icon on the candidate's row. It copies their assessment URL,
https://hr.cocolevio.com/assessment/{applicantId}, which you can paste into your own email.
Manage your candidates
The Applicants list lets you:
- Search by name.
- Filter by verdict: All, Pending, Selected, or Rejected.
- Copy a candidate's assessment link with the Link icon.
Open any candidate to see their detail page: profile, status and verdict badges, and — for candidates who applied through the public link — a banner with Accept Application.
Once a candidate completes their assessment, the detail page adds:
- View assessment — open the full AI report.
- Download PDF report — save the report as a PDF.
- Email report — send it to hiring managers (add recipient chips and an optional note; the report includes AI scores, snapshots, and recording links).
Note: Verdict and status are read-only on the applicant detail page today. There's no manual notes field or stage editor.
Tips
- Adding a candidate directly is fastest when you already have their resume.
- The public apply link is best for volume — one link collects many applicants.
- If the resume-parsing panel is still running, you can carry on; the profile fills in automatically.
