User Guide

A screen-by-screen reference to every part of Coco HR a recruiter or admin uses.

This guide describes each real screen in the app, what it shows, and what you can do there. For step-by-step tasks, see the how-to guides.

Signing in

  • Sign in at https://hr.cocolevio.com/sign-in with your email and password. If you've enabled 2FA, you'll also enter a 6-digit authenticator code.
  • Single sign-on with Google or Microsoft is available.
  • Forgot password? Enter your email, receive a one-time code, and set a new password (minimum 8 characters).
  • Sign up starts a 14-day free trial with no credit card. You enter your company name, your name, email, optional phone, and a password, then verify a 5-digit code sent to your email.

Dashboard

Your home screen. It shows:

  • A greeting.
  • Four KPI cardsOpen Jobs, Closed Jobs, Total Applicants, and Assessments Done. Each card clicks through to a filtered list.
  • Quick ActionsPost a Job, Add Applicant, View Pipeline, and Instant Report.
  • A Pipeline Overview with bar charts.
  • A Recent Applicants list.

Jobs

Jobs list

  • Search by title.
  • Columns: Title, Applicants, Assessed, Status (Draft / Open / Closed), Created.
  • Per row: View, Edit, Delete. (No bulk actions.)

Add job (3-step wizard)

  1. Basic Info — Job Title (required), Location, Requirements, Description with an AI Generate / Regenerate button.
  2. Template — attach an existing assessment template, or choose "decide later."
  3. Review & PublishSave as draft or Publish job.

Job detail

  • Status dropdown: Active, Draft, Closed.
  • Attach/Change Template — picker with "Select existing" or "Create new."
  • Share Link — copies the public apply URL, https://hr.cocolevio.com/apply/{jobId}.
  • Edit the job.
  • AI-extracted skill chips.
  • An Applicants table for the job.

Applicants

Applicants list

  • Search by name.
  • Verdict filter: All, Pending, Selected, Rejected.
  • A Link copy icon copies the candidate's assessment URL, https://hr.cocolevio.com/assessment/{applicantId}.

Add applicant

Resume-first: upload a PDF or DOCX to auto-extract the name and email, confirm Name / Email / Job (open jobs), and save. An AI resume-parsing panel runs (~2 minutes), and an assessment-link panel offers Copy, Email link to candidate, and Preview.

Applicant detail

  • Profile, plus status and verdict badges.
  • For public applicants, a banner with Accept Application.
  • When the assessment is complete: View assessment, Download PDF report, and Email report (recipient chips + note; includes AI scores, snapshots, and recording links).

Verdict and status are read-only on this page. There's no manual notes field or stage editor.

Assessment report

Opened via View assessment (/applicants/{id}/assessment). It contains:

  • Status, job, time taken, a Re-assess button, and a large AI Score tile.
  • An AI evaluation scoreboard — average % plus per-metric bars. Theory metrics: Completeness, Relevance, Technical (each /5). Coding metrics (if coding): Technical Proficiency, Problem Understanding, Solution Accuracy.
  • An anti-cheat report — device/browser/OS, WebRTC IP, average internet speed, WebRTC location, VPN detected, and pass/warn signals (microphone, camera, stayed in fullscreen, stayed on tab with tab-switch count, cursor stayed in window). Plus webcam and screen recordings and snapshot thumbnails.
  • A per-question breakdown — type badge (MCQ / Coding / Video / Typing / Subjective), score % and badge (Meets Standard ≥ 60 / Partial / Inadequate), the question and answer, inline audio playback, an AI remark, and an expandable per-metric breakdown.

Coco HR does not run automated face detection and does not give a single hire/no-hire recommendation. See Review AI assessment reports.

Templates

Templates list

Your assessment blueprints.

Add template

A single form with three sections: Template Info (name + job posting + skill cards), Assessment Config (subjective questions per skill, time per question, live total-time calculator), and Options (practice round, typed-answers toggle, TTS audio, MCQ counts per skill, coding counts + one shared coding time budget). On save, AI generates the questions in the background.

Template detail

A live "Generating questions X of N" banner, questions grouped by skill (each regenerable by AI), plus Practice Questions and Custom Questions (from a Question Bank).

Questions

  • Questions list — search by text; columns Question, Template, Type (Practice / Live), Created, Delete.
  • Add question — Question Title (required) + Template (required) + a "practice question" checkbox. (AI question generation happens at the template level, so there are no type, difficulty, category, or expected-answer fields here.)

Copilot

A full-screen AI chat, Cocolevio Copilot. It streams answers, offers starter prompts (Show open jobs, Recent applicants, Pipeline stats, Create a new job), supports multiple threads (create / rename / delete), and can render rich cards and navigate the app. It's read-only assistance — it looks things up and takes you to pages but doesn't change data. See Use the Copilot.

Notifications

A list of your notifications. Mark all as read, and click a notification to navigate to the related item.

Support

Create a support ticket with a Subject, Description, and Priority, and view your ticket history.

Settings (admin)

These tabs are available to the Company Admin. See the Admin guide for detail.

  • Company Profile — logo upload (plus "logo on dark" and "light header text"), company info (name, website, contact email, phone, about), and address.
  • Billing — pay-as-you-go status, Stripe payment method, this month's bill, billing history, and rate card.
  • Usage — storage usage by file type and AI token usage over 7 / 30 / 90 days.
  • AI Settings — provider selection, model selector, and bring-your-own API key with a connection test.
  • Security — TOTP 2FA setup and disable.
  • Greenhouse Integration — connect via Harvest API key, connection status, webhook info, and a link to the Greenhouse dashboard.

Coming soon

These areas exist in the interface but are not yet available. Don't rely on them:

  • Knowledge (Documents, Announcements, Forum)
  • Audio Notes
  • Security Center (the standalone page)
  • App Center (integration catalog)
  • Users → Invite User (sending an invite is not active yet)
  • Roles & Permissions matrix (view only; changes don't save)
  • Email Notifications preferences (toggles don't persist)

We'll announce these as they become available.
