Admin Guide

A reference to the admin-only areas of Coco HR: company settings, billing, AI, security, and integrations.

The Company Admin is the person who created your workspace. Admins see everything a regular user sees, plus the settings and management areas below. Admin-only areas are hidden from regular users at the navigation level.

What "admin-only" means

Admins can reach Settings (Company Profile, Billing, Usage, AI Settings, Security, Greenhouse), API Management, and the Greenhouse Dashboard. Regular users (recruiters and teammates) work with jobs, applicants, templates, questions, the dashboard, and the Copilot, but don't see these admin areas.

The core work pages (Jobs, Applicants, Templates, Questions, Dashboard, Copilot) currently show their buttons to any signed-in user — access control is applied mainly at the navigation level for admin areas.

Company Profile

Settings > Company Profile. Manage:

  • Logo upload, plus a "logo on dark" variant and a "light header text" option.
  • Company info: name, website, contact email, phone, and an about section.
  • Address.

There's no timezone field.

Billing and payment

Settings > Billing. Pay-as-you-go billing through Stripe:

  • A status card showing your plan state (Pay-as-you-go active / Free trial with days remaining / Own-key free / Trial expired).
  • Save payment method (Stripe), Update card / view invoices (Stripe portal), and Remove payment method.
  • This month's bill line items and billing history.
  • A rate card and a bring-your-own-key note.

Usage

Settings > Usage. Track consumption:

  • Storage usage broken down by file type.
  • AI token usage over 7 / 30 / 90 days, with totals, by-model, and by-category views.

Use this to understand what's driving your bill.

AI Settings and provider keys

Settings > AI Settings. Choose how Coco HR runs AI:

  • Provider pills: Platform default, OpenAI, Anthropic, OpenRouter, Groq, Mistral, or Custom (with a Base URL).
  • A model selector.
  • Bring your own API key with a connection test before saving, and a Remove Key option.

If your key is locked by a Coco administrator, the controls are greyed out with a "managed by Coco admin" note. Bringing your own key makes AI usage free (you pay your provider directly). See Bring your own AI key.

Security (2FA)

Settings > Security. This page offers only TOTP-based two-factor authentication: scan a QR code (or enter the secret), verify a 6-digit code, and enable it; disable it later if needed. There's no password policy, session management, SSO configuration, or IP allowlist here. See Set up two-factor authentication.

Greenhouse integration

Settings > Greenhouse Integration. Connect Greenhouse with a Harvest API key (plus optional User ID and Host), check connection status, and view the Webhook Info panel (URL + masked secret). Use View Dashboard to open the Greenhouse Dashboard, where you'll find stat cards, Sync Now (15-minute cache), Export (JSON / CSV / Excel / ZIP), and Jobs / Candidates tabs. See Connect Greenhouse.

API Management (Partner API key)

API Management. Manage a single Partner API key:

  • Generate New Key — creates a key. Generating a new one replaces the existing key (you'll see a warning).
  • Show / Hide and Copy the key.
  • Header-format info for using the key in requests.

There are no multiple or named keys, no separate revoke action (regenerating replaces and therefore revokes the old key), and no webhooks or usage metrics in this UI.

User management is limited today

Team-member management is still being built. The following exist in the interface but are not yet functional:

  • Users → Invite User (sending an invite is a stub — no invite is delivered, and there's no edit, deactivate, or role assignment).
  • Roles & Permissions matrix (view only; changes don't save).
  • Email Notifications preferences (toggles don't persist).

For now, plan around a single admin plus users who sign up directly. We'll announce team management when it's ready.
