Calendar & email sync
Coco CRM syncs your personal mailbox and calendar into the CRM. Once connected, emails you exchange with contacts appear on their records automatically, and meetings show up on the records of the people who attended — no manual logging.
Connecting an account
- Go to Settings → Accounts.
- Click Add account and choose Google or Microsoft 365.
- Sign in and grant the requested email and calendar permissions.
Each member connects their own accounts, and you can connect more than one. Sync starts immediately and runs continuously in the background (2-way: new messages and events keep flowing in).
Email sync
- Emails are matched to People records by the sender/recipient address. A thread with jane@acme.com appears on Jane's record page under the Emails tab and in the record timeline.
- Both sent and received messages sync, including history from before you connected.
- If the address doesn't match an existing person, Coco CRM can suggest creating a contact from it.
Visibility settings
You control how much of your mailbox teammates can see. Per connected account, in Settings → Accounts:

You always see the full content of your own messages. You can also exclude specific contacts or domains (e.g. your own company's domain) from syncing entirely.
Calendar sync
Calendar events from connected accounts sync into the CRM:
- Events appear on the Calendar tab of each attendee's People record and in the record timeline.
- Meeting details — title, time, attendees, description — are visible according to the same visibility settings as email.
- Past and upcoming events both sync, giving you a meeting history per contact.
Not the same as campaign sending accounts
Personal sync accounts and bulk-sending accounts are separate systems:
- Settings → Accounts (this page) — your mailbox, for syncing conversations and meetings onto records. OAuth-based, per member.
- Connect Email in the Email Campaigns app — SMTP/IMAP accounts used to send bulk campaigns. See Connected Emails.
Connecting one does not connect the other. A typical setup: connect your Microsoft 365 account in Settings → Accounts for sync, and add the same (or a dedicated outreach) mailbox under Connect Email for campaign sending.
Troubleshooting
- Emails not appearing on a record — check the person's email field matches the address on the thread, and that sync status in Settings → Accounts shows the account as active.
- Sync paused — re-authenticate the account; expired OAuth tokens are the usual cause. See Troubleshooting for more.
