FAQ

Can I send campaigns from multiple email addresses?

Yes. Each team member can connect their own mailbox (Gmail, Outlook, or any SMTP provider) on the Connect Email page. Campaigns have a Send From dropdown listing every active account. See Connected emails.

Why does Gmail need an app password?

Google blocks regular passwords for SMTP access. Enable 2-factor authentication on the Google account, then generate an App Password and use that as the SMTP password when connecting the account.

Can I preview a campaign before sending?

Yes. The campaign editor has a live HTML preview, and Preview renders the fully merged email — personalization placeholders filled in — for a sample recipient before anything is sent. See Email campaigns.

Where do I see which emails failed?

Campaign Logs records one entry per recipient with a SENT or FAILED status, timestamp, sender, subject, and the error message for failures. See Campaign logs.

What do the LinkedIn lead categories mean?

During validation, the AI assigns each lead a category describing the buying intent it found — for example HUBSPOT or JIRA (looking to replace that tool), OPENSOURCE (wants open-source software), or AI_STRATEGY / AI_ADOPTION / AI_CONSULTING / AI_PAIN_POINT (needs AI services). See LinkedIn leads.

What does the opportunity score on Google Places leads mean?

The AI scores each business 0–100 on how strong a sales opportunity it is — based on the SaaS tools it likely uses, estimated spend, and fit for an open-source replacement. Leads scoring above the threshold (default 60) can be pushed to the CRM. See Google Places leads.

Which AI model does Coco CRM use?

It switches automatically. All AI features route through Cocolevio's AI gateway, which sends simple tasks to fast, cheap models and complex reasoning to stronger models. In the chat panel you can also pick a model manually.

Can I import my data from HubSpot?

Yes — the HubSpot Connector imports Companies, Contacts, and Deals using a HubSpot private-app token, with live counts, one-click Import All, and incremental sync. See HubSpot import.

Is there an API?

Yes. A GraphQL API with full CRUD on every object (including custom ones), a REST API, webhooks, and an MCP endpoint for AI tools. Keys are issued in Settings → API & Webhooks. See API and webhooks.

Who can add new members to the workspace?

Workspace admins. Members are invited and assigned roles that control which objects and settings they can access. See Members and roles.

Can I export my data?

Yes. Any table view can be exported to CSV, and the API gives full programmatic access to every record. The HubSpot Connector also offers CSV export of fetched HubSpot data. See Import and export.

How do leads become deals?

Leads generated from LinkedIn or Google Places land in lead lists after Push to CRM. From there, qualified leads are worked in the BD pipeline and promoted into the deals pipeline, where they progress through stages on the kanban board.

Can the AI assistant change records I don't have access to?

No. The assistant respects your role's permissions — it can only read and modify what you can. See AI assistant.
