Email Campaigns
The campaigns manager lets you build an HTML email once, pick recipients from your CRM data, choose which mailbox to send from, and send in bulk — with every individual send logged. Open it from the Email Campaigns folder in the sidebar.
Campaign lifecycle
Every campaign moves through a simple status flow:
| Status | Meaning |
|---|---|
DRAFT | Campaign is being edited; nothing has been sent |
SENDING | Bulk send is in progress |
SENT | Send completed |
FAILED | Send could not complete (check Campaign logs) |
Creating a campaign
Click Create Campaign and fill in:
- Name — internal label for the campaign.
- Subject — the email subject line recipients see.
- HTML template — the campaign editor gives you raw HTML editing with a live preview pane, so you see the rendered email as you type.
- Personalization placeholders — insert placeholders in the subject or body; they are merged per recipient at send time, so each contact receives a personalized email.
Choosing recipients
Pick a recipient source for the campaign:
| Source | Description |
|---|---|
| People | Contacts from the People object |
| Companies | Company records with email addresses |
| Lead lists | Any named list from Leads, e.g. "linkedin" or "google-places" |
The recipient count is shown before you send.
Send From
The Send From dropdown lists every active connected email account. Pick one and the From Name and From Email fields auto-fill from that account — so different team members can send campaigns from their own mailboxes.
Accounts are managed on the Connect Email page. See Connected emails to add and test an account.
Preview before send
Use Preview to render the merged HTML for a sample recipient. This is the fastest way to confirm placeholders resolve correctly and the layout looks right before anything goes out.
Sending in bulk
Click Send and the campaign moves to SENDING. The CRM iterates through recipients, sends each email through the selected account, and updates the sent and failed counts live on the campaign. When the run finishes, the status becomes SENT (or FAILED if the run could not complete).
Save to Outlook Drafts instead
Instead of sending immediately, you can save the campaign as drafts into an Outlook (or any IMAP) mailbox. Each merged email is placed in the account's Drafts folder so a human can review, tweak, and send manually. This is ideal for high-touch outreach where every message should get a final look.
Where to see history
- Campaign Logs — one row per recipient with status, timestamp, sender, and any error message.
- Emails Sent — a dashboard of every email sent across all campaigns and accounts.
- Each campaign record shows its own sent/failed counts and the time it was sent.
See Campaign logs for the full tracking reference.
