Tasks & notes
Tasks and Notes are lightweight activity objects that attach to any record — a company, a person, a deal, or a lead. Use tasks to track what needs to happen; use notes to capture what already did.
Tasks
A task has:
| Field | Description |
|---|---|
| Title | What needs to be done |
| Body | Rich-text details |
| Assignee | The workspace member responsible |
| Due date | When it's due |
| Status | To do → In progress → Done |
| Relations | Linked records — companies, people, deals, leads |
Create a task from the Tasks tab on any record page (it links automatically), from the global Tasks list in the sidebar, or with the keyboard shortcut from anywhere. Assign it to yourself or a teammate and set a due date.
The global Tasks page shows every task in the workspace, split into upcoming and done, filterable by assignee — a shared to-do list over your CRM data.
Notes
Notes are rich-text documents attached to records. The editor supports headings, lists, checkboxes, code blocks, images, and inline formatting — enough for meeting notes, call summaries, or account plans.
Create a note from the Notes tab on a record page or from the global Notes list. A single note can be linked to several records (e.g. the meeting note links to the company and the two attendees), and it appears on all of them.
Where they appear
- Record timeline — tasks and notes show up in the activity feed on the right panel of every linked record, alongside emails and field changes.
- Record tabs — the Tasks and Notes tabs on a record list only that record's items.
- Global lists — Tasks and Notes entries in the sidebar aggregate everything across the workspace, with the full power of views: filter by assignee, sort by due date, group by status.
Using tasks for lead follow-ups
A simple, reliable follow-up loop for leads generated by the LinkedIn and Google Places tools:
- Open the lead (or the company it was pushed to).
- Create a task — "Send intro email" — assign it, set a due date 2 days out.
- Work from the global Tasks list each morning, filtered to Assignee: me, sorted by due date.
- When done, mark it complete and create the next touch ("Follow up if no reply").
You can automate this: a workflow can create a follow-up task automatically whenever a lead's status changes or a deal moves stage.
Files
Alongside tasks and notes, every record has a Files tab. Drag and drop attachments onto a record to keep contracts, proposals, and screenshots with the account they belong to.
